This article explains how logging in works for organizations that use Single Sign-On (SSO) with the Vitalacy web app, what users can expect, and how access is controlled.
How Staff Log In
Staff will access the Vitalacy web application as usual through the login page.
- The staff member enters their email address.
- Vitalacy checks the user’s account and organization configuration to determine whether SSO is enabled.
- If SSO is enabled, a “Sign in with SSO” option appears.
- The user is redirected to their organization’s Identity Provider (IdP) (such as Microsoft, Okta, or Azure AD).
- The user signs in using their existing company credentials.
Authentication is fully handled by the organization’s SSO provider.
Key Differences from Non-SSO Organizations
For SSO-enabled organizations, users do not need to:
- Create a Vitalacy password
- Complete an account setup or invitation flow
- Receive password reset or setup emails
If your organization uses SSO, you simply log in using your existing company login.
Welcome Email – Account Creation Notification
When a new staff member is added to an SSO-enabled organization (and access is granted), the user receives a welcome email.
What the Welcome Email Includes
- Confirmation that the account uses Single Sign-On
- A direct link to the Vitalacy login page
- No password setup or reset instructions
This email is meant to set clear expectations:
No new password is required — just use your existing company login.
User Access & Status
Access to the Vitalacy web application is controlled by user status and whether access has been granted.
User Status Definitions
- Activated
The staff member can access the Vitalacy web application via SSO. What they can see and do depends on their assigned permissions. - No Access
The staff member exists in Vitalacy, but web application access has not yet been enabled. - Deactivated
The staff member’s access is fully disabled. Login is blocked regardless of SSO configuration.
Pro Tip: The “Invited” status does not apply to SSO users since there is no invitation or account setup flow.
Password Login Fallback
Even when an organization is configured for SSO, the Vitalacy web application still technically supports email and password login as a fallback.
This exists only for rare scenarios where the organization’s Identity Provider may be unavailable.
Important:
- SSO is the recommended and primary login method
- Staff should continue to sign in using SSO whenever possible
