Implementing the Vitalacy SmartBadge system is a streamlined and supportive process designed to minimize disruption while ensuring successful adoption. Here’s an overview of what a typical badge rollout looks like from start to finish:
1. Pre-Site Coordination
Before launch day, a Vitalacy representative will reach out to schedule time with each unit leader. This ensures alignment with the unit’s schedule and gives us an opportunity to tailor the rollout process based on the specific needs of your team.
Goal: Confirm timing, logistics, and key contacts for launch day.
2. Manager Onboarding
The rollout begins with a brief one-on-one meeting with each unit manager. During this touch-base, we:
Clarify the manager’s role in the process
Review key expectations
Establish open lines of communication
Why it matters: Managers are often the point of contact for staff who may miss the in-service. Equipping them early helps maintain momentum and consistency across shifts.
3. Badge Review
Next, we review the SmartBadge roster for the unit:
Verify badge assignments
Identify any recent hires or staff changes
Make adjustments as needed
Outcome: Each staff member gets the correct badge with no surprises or confusion.
4. In-Service Staff Session
We conduct a short (3–5 minute) training session with the unit staff to introduce the system. This covers:
What the Vitalacy system is and how it functions
Expectations for hand hygiene and how compliance is tracked
Proper badge placement and wear
Time for brief Q&A and feedback
Best practice: We aim to schedule these sessions outside of shift changes to reduce distractions and encourage full participation.
5. Badge Distribution
Immediately after the in-service, badges are distributed to staff. We offer flexible options for distributing remaining badges:
Leave them with the unit manager for distribution
Return later for a follow-up distribution session
